Annual Closures
Section titled “Annual Closures”Holidays and breaks planned well in advance.
Notifying clients
Section titled “Notifying clients”- In September:
- Email closure schedule to all members.
- Post schedule at the front desk.
- 2 weeks before closure:
- Email scheduled members.
- Include in class announcements.
- Post a minimum of 4 signs: front door, front desk, viewing areas.
- 1-2 days before:
- Final email reminder to scheduled members.
Makeups
Section titled “Makeups”No makeups unless noted otherwise. These closures are built into the 4-week session schedule. If a closure reduces a weekday to fewer than 4 occurrences in a session, there should be a note that makeups will be offered. If not, speak with a manager.
Last-minute Closures
Section titled “Last-minute Closures”Fires, weather, property damage, etc.
Notifying clients
Section titled “Notifying clients”- Email scheduled participants. Ask for confirmation.
- If there is an open gym: include all teen and adult members.
- If there is an adult class: include all adult members.
- Unscheduled members do not need to be followed up with.
- Text scheduled participants. Ask for confirmation.
- Call unconfirmed participants. Leave a voicemail if uncontacted.
Makeups
Section titled “Makeups”Makeups are provided.
Other Scheduled Closures
Section titled “Other Scheduled Closures”Competitions or special events that are planned in advance, but may not be included in annual schedule.

- 2-4 days before: text unconfirmed participants.

Makeups
Section titled “Makeups”Management decides on makeups based on notice timing, how often that weekday is removed from the annual schedule, and how many times it occurs that month. Cancellations outside the annual closures usually receive makeups.
